1. The beta service
Prolifolio at prolifolio.com helps you manage private plant records and propagation activity. It is independently operated by its owner from Washington State, United States. It is a beta: features may change, contain bugs or become unavailable.
2. Eligibility, accounts and access
The Prolifolio beta is currently available only to U.S. residents. Availability is limited and registration requires administrator approval. By signing up you state that you are a U.S. resident; residency is checked administratively during approval, not by automatic location verification or regional blocking.
Use your own authenticated account and protect your credentials. Do not share passwords or assistant access tokens. An external ChatGPT/MCP connection needs your explicit authorization and can access the account you connect.
Admins can approve pending beta accounts or suspend and reinstate accounts. Suspension blocks app and assistant/API access without itself deleting plant records. Approval is required for new registrations; it is not an invitation-only system.
3. Responsible use
- Only submit content you have the right to use, including photos and notes.
- Do not try to access another person’s records, bypass access controls, steal credentials or exploit the service.
- Do not use the service for unlawful content, harassment, spam or disruptive automated traffic.
- Review assistant actions, quantities and collection targets before relying on them. Undo is available only for supported, eligible actions.
4. Your records and backups
You are responsible for checking your records and keeping separate copies of important information and original photos. Bugs, outages or other failures may cause incorrect records or data loss.
Spreadsheet export covers the current collection, not photos, full history or every setting. It is not a complete backup. Do not rely on the beta as your only record of valuable plants or transactions.
You keep ownership of the content you add, including your plant records, notes and photos. Account deletion is a manual request handled personally by the owner after identity is verified, with no guaranteed completion time; copies may remain in provider backups or logs. See the Privacy Policy. Export before requesting deletion.
5. Availability and beta limitations
The beta offering is “as is” and “as available”, with no guarantee of uninterrupted availability, correctness or recovery of lost data. These terms make no promise of paid access, future pricing, a permanent free tier, support response times or continued availability.
6. Feedback and third-party services
Feedback is voluntary and visible to admins. Do not include passwords, tokens or unnecessary sensitive information. No reward, payment or obligation to implement suggestions is promised.
Hosting, sign-in and AI integrations depend on external services. A separately authorized ChatGPT connection is also subject to that provider’s terms and availability. See the Privacy Policy for current data handling and limitations.
These terms do not transfer ownership of your content to Prolifolio.
7. Contact and changes
For support or account-deletion requests, email support@prolifolio.com, including if you cannot sign in. Signed-in testers can also use Profile › Send feedback or Settings Help. The owner personally monitors and answers this inbox. Deletion requests require identity and intent verification and are handled by hand without a guaranteed completion time; see the Privacy Policy. Never send passwords or access tokens.
These terms are effective October 12, 2026 (U.S. Pacific). Updates will be posted here with a revised effective date. Nothing in these terms is intended to waive rights that cannot be waived under applicable law.
