1. Who operates Prolifolio
Prolifolio is a plant collection and propagation service at prolifolio.com, independently operated by its owner from Washington State, United States.
The Prolifolio beta is currently available only to U.S. residents. Account access follows the current enrollment policy, which an administrator may set to automatic approval or review before access. Prolifolio does not automatically verify residency or block access by region, and does not collect precise location for this purpose.
For privacy questions, contact support@prolifolio.com. That inbox is monitored and answered personally by the owner.
2. Information used by the service
- Account information used for authentication, including email, account ID and available sign-up/sign-in metadata.
- Your collections, mother plants, propagation batches, stages, pollinations, sale records, notes, photos and related history.
- Settings, onboarding choices and feedback or bug reports you submit.
- Limited service and error information used to operate, troubleshoot and protect the beta.
These records support the features you use, account access, assistance and abuse prevention. You keep ownership of the content you add, including your plant records, notes and photos. Do not upload information you do not have permission to share.
3. Private records and admin access
Plant records and photos are account-scoped, with access controls intended to prevent other users from accessing them. The admin dashboard does not provide access to individual private plant records or photos.
Admins can see limited account metadata, including email, user ID, account status, sign-up and available last-sign-in dates; non-sensitive aggregate activity; feedback; redacted error summaries; and admin action history. Feedback is not private from admins: include only what you want them to read.
Hosting infrastructure processes stored information to provide the service. Access controls are not a guarantee against every security incident.
4. Assistants and connected services
ChatGPT/custom MCP access requires you to explicitly connect and authorize an integration. That connection can read and update the account you authorize through the supported tools; it is not enabled merely by signing up. Information returned to ChatGPT is also handled under that service’s policies.
The in-app Tell Prolifolio feature processes submitted commands and relevant collection context through an AI service. Voice input is transcribed into editable text before you submit a command. Review intended changes and the target collection before proceeding.
Prolifolio uses Lovable Cloud for hosting and managed authentication, database and photo storage infrastructure, and AI services for assistant features. Google or Apple handle their own sign-in flow when you choose those options.
5. Service logs and security
Recorded error messages pass through redaction for password-, token- and secret-like values. Admins receive limited error summaries rather than a general API for reading your collections. Redaction reduces exposure; it cannot guarantee every sensitive value is removed. Never include passwords or access tokens in feedback.
Conversion reporting
Lovable provides site visitor and pageview analytics. Prolifolio separately counts landing visits, beta-access button clicks and application starts to understand how growers find the beta. A random identifier in this tab’s session storage groups these events for up to 30 minutes. We retain only coarse acquisition categories from known UTM source/medium values or referring sites, never full referrer URLs, arbitrary campaign text, fingerprints, precise location, plant content, email addresses or credentials in these conversion tables.
When you sign in within that session, the visit may be associated with your internal account ID. New account access requests, automatic or administrator approvals and the first saved mother plant, batch or pollination are counted once per account on the server. Only active administrators can see aggregate conversion reports. Known admin and fictional test activity are excluded where identifiable. Anonymous counts are approximate, not a count of individual people.
Anonymous conversion tracking respects Do Not Track, Global Privacy Control and the choice below. This choice does not disable Lovable’s native analytics or necessary server-side account milestones. Blocking tracking does not affect access requests or approval. Conversion records currently have no automatic deletion schedule and are subject to the retention and manual deletion limitations below.
6. Exports, retention and backups
Data Management exports the current collection to a spreadsheet. It does not include photos, full audit/history information or every setting and is not a complete backup or a one-click restoration tool.
Keep your own copies of important records and original photos. Managed backup availability, retention and restore capability have not been confirmed.
No fixed retention periods have been set for records, photos, feedback or logs, and there is no automatic clean-up tool. Information stays until an account deletion request is verified and handled by hand. Hosting providers may keep backups or logs that contain copies after that, for periods Prolifolio does not control and has not confirmed.
7. Help and account deletion
For help, email support@prolifolio.com or use Profile › Send feedback or Settings › Help & Tutorials. You can email us even if you cannot sign in.
To request deletion during beta, email “Delete my account” to support@prolifolio.com or send it through your signed-in account’s feedback form. The owner personally reads and handles these requests by hand. Identity and intent must be verified before anything is deleted, and there is no self-service or automatic deletion tool. Records, photos and related information remain until a request is verified and processed. No completion time is guaranteed, and a full purge is not promised: copies may remain in service-provider logs or backups. Export what you need first, as deletion cannot be undone. Never send passwords or access tokens.
8. Policy updates
This policy is effective October 15, 2026 (U.S. Pacific). Updates will be posted on this page with a revised effective date. Contact support@prolifolio.com if you have questions about changes.
