User guide

ChatGPT and Tell Prolifolio are optional. You can add and manage your plants directly in Prolifolio.

No assistant or ChatGPT connection is needed to enter records manually. Sign in to use the plant pages linked below.

Start with manual entry

Choose your collection using the collection selector at the top of the app. The main navigation has Home, Mother Plants, Propagation, Pollination and Profile (along the bottom on phones).

Tap User guide beside the collection selector to return here at any time.

Use the page’s Add or New button to open a form, fill in the details, then save. These buttons sit beside the page heading, or wrap below it on a narrow screen. Open an existing record to review it and find its available update actions.

Add a mother plant

Where to go: Mother Plants
What to tap: Add plant, beside the heading and Select button.

  1. Tap Add plant to open Add mother plant.
  2. Enter the Plant identity: genus is required; species and variety are optional. Suggestions are optional, too.
  3. Add any details you know, such as a display name, photo, date acquired, source, purchase price or pot size. Corm-check fields appear for plants that support corm checks.
  4. Tap Add plant at the bottom of the form. The plant number is assigned automatically.

To update a plant later, open it from Mother Plants and tap Edit.

Start a propagation batch

Where to go: Propagation
What to tap: New batch, beside the heading and Select button.

  1. Tap New batch to open New propagation batch.
  2. Choose a Parent mother plant. For independently acquired plants, choose No mother plant (acquired separately), then enter the plant identity and optional source.
  3. Choose the Method, enter the Starting quantity, and check the Start date. Add an estimated price or notes if useful.
  4. Tap Start batch. The new batch starts in Rooting.

Starting from a mother plant: open that plant in Mother Plants and tap New batch beside its heading. The same form opens with that parent already selected.

A batch can contain plants in Rooting, Potted and Established at the same time. Growth stages are separate from sold, gifted or dead outcomes; those outcomes remain in history.

Add a pollination

Where to go: Pollination (page heading: Pollination & seeds)
What to tap: New pollination, beside the heading.

  1. Tap New pollination, then choose Self or Cross.
  2. Choose the Seed parent (mother). For a Cross, also choose the Pollen parent. You can choose External parent (type a name)… instead of a plant in your collection; this saves a text label, not a new mother plant.
  3. Check the Pollinated date. Add an Expected harvest date and Notes (optional) if known.
  4. Tap Save pollination at the bottom of the form.

Later, Harvest seeds on the pollination starts a linked seed batch after you enter the seeds sown and date.

Home / Dashboard

Tap Home to open Dashboard. Counts and reminders show your selected collection, not all collections combined.

Active mother plants
Mother plants marked active; the smaller line shows retired or lost plants. Tap the count to open Mother Plants.
Active batches
Batches still in tracking with plants remaining. The smaller “approved ready to sell” number counts individually approved sale-ready plants, not batches. Tap to open Propagation.
Plants propagating
The number of plants in Rooting plus Potted, excluding Established. Tap to open Propagation.
Active pollinations
Pollinations marked Pollinated or Developing. Tap to open Pollination.
Needs attention
Overdue mother-plant corm checks, batches with a Status Check Due, due sale-readiness stage-group reviews, and overdue seed harvests. This count is not a link. Upcoming corm checks and “Harvest soon” are not included; a batch with several due status-check groups counts once here.

Below the counts

Production history summarizes recorded propagation starts, survival and attrition, and sold or gifted quantities. It is historical, not the number currently growing, and is not a link.

Batches by stage shows batch and plant counts for Rooting, Potted and Established. Tap a row to open Propagation filtered to that stage. A mixed-stage batch can appear in more than one row.

Attention needed

  • Review for Sale Readiness: a Potted stage group is due for review. Tap to open its batch; plants are not ready to sell until you approve them.
  • Harvest overdue / Harvest soon: reminders based on a pollination’s expected harvest date. Tap to open Pollination.
  • Overdue: a mother plant’s corm check is due. Tap to open that plant.
  • Status Check Due: a batch has a stage group due for inspection. Tap its name or Move to next stage to open the batch; the button does not move plants by itself. Check again later opens the inspection form.

Corm checks coming due lists checks due within the next two weeks. Tap a plant to open its details.

Status Check Due & check again later

Status Check Due means an eligible Rooting or Potted stage group is due for inspection, not that the plants are unhealthy. A saved next-check date takes priority over the usual stage interval.

  1. Inspect the plants, then choose Check again later from the Home reminder or the batch’s stage group.
  2. Check Inspected on. Choose 3 days, 7 days, 14 days or 30 days, or enter a whole number from 1 to 365 in Days from inspection. Add a Note (optional) if useful.
  3. Review Next check and tap Save check. The interval runs from the inspection date, not the old due date. The inspection and schedule change are kept in batch history.

Saving a future next-check date immediately clears that stage group’s due indicator, including after refresh, until the saved date is due. The batch may still show Status Check Due if another stage group in that batch is due. Today’s or past check dates are due when the group is otherwise eligible. Prolifolio uses UTC calendar dates for these batch checks.

You can inspect and reschedule again later. This changes only that stage group’s check schedule, not other batches, mother-plant corm checks or separate sale-readiness reminders.

Optional alternatives: Tell Prolifolio & ChatGPT

Once you know the manual basics, you can also use an assistant with the same plant records. Neither is required.

Tell Prolifolio

Open Tell Prolifolio using the floating green + shortcut. Type a request, or record your voice and review the text before tapping Send. Review proposed changes before confirming. Quick Mode may save supported reversible updates directly and show Undo; Review Mode asks for confirmation.

ChatGPT

Follow Settings › Connect ChatGPT if you want to use your own ChatGPT account with Prolifolio. Initial setup requires ChatGPT in a desktop web browser; adding a custom MCP connection is not available in the ChatGPT iOS app or mobile Safari. After setup, phone use is available where supported.

A compatible ChatGPT account and connector are required, and ChatGPT may impose its own limits. It accesses the same plant records without using Tell Prolifolio’s daily messages; your Tell Prolifolio chat history does not transfer.

Installation & help

Install Prolifolio has iPhone and Android home-screen instructions. The app still needs an internet connection.

Settings › Help & Tutorials keeps the tour, beta welcome and installation shortcuts. Use Profile › Send feedback for beta bugs or ideas, or visit Support for sign-in and account help. See the Privacy Policy and Beta Terms.
